What generic scheduling software leaves out
Plenty of schools run on general-purpose booking tools and get a long way with them. They are cheap, mature and reliable. It is worth knowing exactly where they stop, because the gaps are all in the same direction: they are built for appointments, and a school is not appointments.
None of what follows is a criticism of those tools. A one-to-one appointment with a start time is what they model, and they model it well. A school is a different shape.
A class is a list, not a slot
The unit is a group with a roster: twelve children, the same twelve most weeks, at the same hour. What a school wants on Tuesday afternoon is the list — who is coming, who has a note about their asthma, who has not been for three weeks.
Appointment software gives you twelve separate bookings that happen to share a time. You can read them, but you cannot take a register from them.
Money is monthly and it is per family
Almost every school in this trade bills monthly, and almost every family has one card for two children. Appointment tools charge per booking, per person, at the time of booking.
You can bolt a subscription on. What you cannot easily do is connect that subscription to the enrollment it belongs to, which means that the child on the register and the payment in the bank are two facts in two systems, reconciled by somebody at a desk.
Two resources, one booking
A class takes a room and an instructor at the same moment. Appointment tools book one calendar at a time, so the second resource is tracked by hand or not at all.
The trial class is a state, not an appointment
Booking the trial is the easy part. What a school actually needs is the fortnight after it: who came, who is still deciding, who to call on Monday. In a booking tool the trial is a past appointment, which is exactly the point at which it stops being useful.
Nobody is building you a website
This is the one people notice last. All of these tools give you a booking page on their domain. The parent searching at nine o'clock still has to find something first, and a booking page is not the thing that gets found.
When they are the right answer
If you teach adults one at a time, charge per session, have one room, and already have a website you are happy with, a general-purpose booking tool is cheaper than us and does the job. That is a real configuration and there is no reason to pay for more.
What this means for your website
What we build is the website first — on your domain, with your brand, findable — and the enrollment engine is inside it rather than beside it.
Classes with lists, monthly tuition per family, rooms and instructors that share, trials with a window, levels, waivers, attendance. If half of that is not what you need, one of the cheaper tools genuinely is the better answer and we would rather say so now.
